AI chatbot for real estate websites, qualify buyers and book viewings
An AI chatbot for a real estate website answers listing questions at any hour, qualifies buyers and renters and offers a viewing slot from your calendar.
An AI chatbot for a real estate website answers questions about listings, areas and the buying process at any hour, asks buyers and renters a few qualifying questions and offers a viewing slot from your calendar. The agent arrives at the viewing knowing budget, timeline and financing.
Property enquiries rarely arrive during office hours. People browse listings in the evening and at weekends, and they contact the first office that replies. A chatbot does not replace the agent. It makes sure the evening enquiry becomes a booked viewing instead of an unanswered email.
What visitors ask on real estate websites
| Question | Where the answer comes from |
|---|---|
| Is this property still available | The listing page, re-synced daily on higher plans |
| How many bedrooms, what floor, is there parking | Listing details on the page |
| What are the service charges or fees | Listing page or your fees page |
| Which schools and transport are nearby | Area guides you published |
| How does buying or renting work with you | Process pages, FAQ and uploaded guides |
| Can I see it this week | The booking action with your calendar link |
Most of these answers already exist on your site. They are just spread across hundreds of listing pages and a few guides. The chatbot finds the right passage and answers in one line with a link to the listing.
Qualifying buyers and renters in the chat
Agents spend a lot of time on viewings that were never going to convert. A few questions before the booking change that. Keep them short and natural, three or four at most.
- Are you looking to buy or rent?
- What is your budget range?
- When would you like to move?
- For buyers: do you have a mortgage pre-approval, or are you a cash buyer?
In ChatBotWidget you define these as the qualification fields of the CRM lead action. The bot asks them in conversation, not as a form, and saves the answers with the visitor's name and email. Leads arrive in the panel, can be exported to CSV and can be sent to HubSpot, Pipedrive or any CRM with a webhook. This is the same approach our AI sales agent uses for other industries.
Booking viewings automatically
Once the visitor is qualified, the bot offers your booking page, for example a Cal.com or Calendly link, with the visitor's details filled in. The visitor picks a slot that fits your real availability, and the booking lands in your calendar like any other. No back and forth by email.
Many offices use separate booking links for sales viewings, rental viewings and valuations. You can add one booking action for each, and describe in plain words when the bot should offer which one.
A complete enquiry flow, step by step
- A visitor on a listing page asks whether the apartment has a balcony. The bot answers from the listing with a link.
- The visitor asks if they can see it on Saturday. The bot asks whether they want to buy or rent, their budget and their timeline.
- The answers fit, so the bot offers the viewing booking link. The visitor books Saturday at eleven.
- The lead with all answers is saved and sent to your CRM. The agent sees it on Monday morning, or immediately on their phone.
- If the visitor asks something the site does not cover, such as an offer below asking price, the bot hands the conversation to the agent instead of guessing.
The handoff in step five matters. Price negotiations, offers and anything legal belong to a person. Our guide on chatbot and human handoff explains how to set keyword rules for exactly these topics.
Preparing your website content
The bot is only as good as the pages behind it. Before launch, check these points.
- Sold or let listings are marked clearly or removed, so the bot does not offer them.
- Each listing page states price, size, rooms, fees and availability in text, not only in images.
- You have a page on how buying and renting work with your office, including fees and documents.
- Area guides cover the questions buyers ask: schools, transport, parking, shops.
- Your brochure or buyer guide is uploaded as a file if it is not on the site.
Because listings change often, use a plan with daily re-sync if your portfolio moves quickly. The entry plan re-syncs weekly, the Business plan and above daily.
International buyers and languages
Property attracts buyers and tenants from abroad, especially in cities with universities, international employers or holiday demand. Many of them read your English listings fine but prefer to ask questions in their own language. The chatbot detects the language of each question and answers in it, using your English pages as the source, across more than thirty languages. The lead still arrives with the qualifying answers, so your team can decide whether to reply in English or bring in a colleague who speaks the visitor's language.
This also helps with relocation enquiries from companies moving staff to your area. Those visitors often ask about several properties and areas at once, and a quick, accurate answer at the start of their search puts your office on their shortlist.
Valuation requests and landlords
Buyers are only half of the website traffic. Sellers and landlords are often the more valuable visitors, because a new instruction is where an office earns its fees. They ask different questions: how much is my home worth, what do you charge, how long does a sale take, do you manage rentals.
Give them their own path. Add a quick reply such as "Value my home", and a booking action for valuation appointments with its own qualifying questions: address or area, property type, and when they plan to sell or let. Fee questions should be answered from a published fees page. If you do not publish fees, add "fees" to the handoff keywords so an agent replies personally instead of the bot saying it does not know.
Accurate and fair answers on property
Property advertising carries rules on accuracy and on equal treatment, and a chatbot speaks for your office. Three habits keep it safe.
- Let the bot quote listing facts only from the listing page, never estimate prices, yields or future values.
- Do not use qualifying questions that ask about family status, religion, origin or other protected characteristics. Budget, timeline and financing are enough.
- Send anything about contracts, deposit disputes and legal matters to a person through handoff keywords.
Chatbot, contact form and portal enquiries compared

| Replies outside office hours | No | No | Yes |
| Answers listing questions instantly | No | No | Yes, with a link to the listing |
| Qualifies before the viewing | Only with a long form | No | Yes, in conversation |
| Books a viewing | No | Sometimes | Yes, through your booking link |
| Lead lands in your CRM | Manual | Via portal export | Automatically through the CRM action |
Setting it up for a property office
- Build the bot from your website address and check that listing and area pages are in the knowledge list.
- Write a greeting such as "Ask me about any listing, or book a viewing" and add quick replies like "Book a viewing" and "Value my home".
- Add a CRM lead action with your qualification questions.
- Add a booking action for each type of appointment.
- Add handoff keywords: offer, negotiate, contract, lawyer, complaint.
- Paste the script tag on your site. The guide on adding a chatbot to your website covers every platform.
Actions such as lead capture and booking are included from the Business plan at $49 a month billed yearly, see pricing. A multi branch office with separate websites fits Multi site. For the full feature view, visit the chatbot for real estate page, and the actions page for how each action is configured and logged.
Frequently asked questions
Can a chatbot book property viewings?
Yes. After a few qualifying questions the bot offers your booking page with the visitor's details filled in, and the viewing lands in your calendar.
Will the chatbot know which properties are available?
It answers from your listing pages. Keep sold and let properties clearly marked, and use daily re-sync so changes reach the bot within a day.
Can it handle rental and sales enquiries separately?
Yes. Ask buy or rent as the first qualifying question and add separate booking actions, so each enquiry reaches the right calendar.
Does it work with my CRM?
Leads can be sent to HubSpot, Pipedrive or any system that accepts a webhook, and they are also kept in the panel with CSV export.
What if a buyer wants to make an offer in the chat?
Add words such as offer and negotiate to the handoff keywords. The bot then passes the conversation to an agent with the full history instead of answering.
